The Administrative Coordinator serves as the organizational backbone of Rose-Joe Support Network, ensuring that daily operations run smoothly and that staff can focus on mission-critical work without being bogged down by logistical obstacles. This role requires a proactive approach to anticipating needs, solving problems before they escalate, and creating systems that promote clarity and efficiency across the organization. From managing office supplies to troubleshooting technology issues, the Administrative Coordinator ensures that the physical and digital infrastructure of the office supports.

Administrative Coordination

• Coordinate day-to-day operations to ensure a well-
organized and efficient work environment

• Manage calendars, meetings, travel arrangements, and
logistics for staff and donor/partners
• Prepare correspondence, reports, presentations, and
meeting minutes
• Maintain organized filing systems (digital and physical)
in line with data protection policies

Program & Operations Support
• Provide administrative support to program teams,
including scheduling activities, tracking deliverables,
and supporting field operations
• Assist with procurement processes, vendor coordination,
and inventory management
• Support onboarding of new staff, interns, and volunteers
• Track office and program expenses and assist with
budget monitoring

Donor, Partner & Stakeholder Coordination
• Serve as a point of contact for donors, partners,
community stakeholders, and service providers
• Support grant administration by organizing
documentation, deadlines, and compliance materials
• Assist in coordinating workshops, trainings, and
community outreach events

Compliance & Reporting
• Support compliance with organizational policies, donor
requirements, and local regulations

• Assist with data collection, reporting, and record-
keeping for audits and evaluations
